Who this covers
This website, cities4kids.com, is run by Cities 4 Kids (“we” and “us” below). This policy explains what the website collects, why, and the choices you have. It covers this website only.
What the website collects
- The contact form: your name, email address, phone number (if you give it) and message. Messages are kept in our team portal (portal.cities4kids.com) so our staff can reply.
- Emails: if you contact us directly, we receive what you send, along with your contact details.
- Visit statistics: which pages are viewed, and the website that sent you here (just its name, not the full address). A random visit code, kept by your browser only until you close the tab, groups one visit’s pages together. These statistics don’t include your name or use cookies.
- Microsoft Clarity: to show where the website is confusing or hard to use, Clarity records how visitors scroll, click and move through pages, without names. It hides what you type into forms, and it uses cookies to recognize a returning browser. See Microsoft’s privacy statement.
- Stripe: Donations made on the Give page of our team portal are handled by Stripe. Your card or account details go directly to Stripe under its own privacy policy and never pass through this website.
- Technical information: like every website, the host receives your device’s internet (IP) address and browser type when you load a page, to deliver it and protect against attacks.
Camp registration and children’s information
Camper sign-up happens in our team portal (portal.cities4kids.com), not on this website. A parent or guardian registers each child and gives us the child’s name, birthdate and grade, gender and shirt size (if given), any allergies or medical notes, and the parent’s or guardian’s name, email address and phone number. The parent or guardian also signs the camp release, which includes permission for photos of camp activities to be used by Cities 4 Kids.
We use this information only to run camp: to place campers on teams by grade, keep them safe, handle allergies and medical needs, and reach a parent or guardian. It’s seen only by the camp staff who need it. We don’t sell it, and we don’t use it for advertising. A parent or guardian can ask us to see, correct or delete their child’s information at any time.
Staff and volunteers apply, and complete their trip forms (including medical and insurance details for traveling team members), in the same portal. Those details are used only to organize the team and keep everyone safe.
How we use it
To reply to you and provide what you ask for, to keep the website working, secure and easy to use, to block spam, and to keep reasonable business records.
We don’t sell your personal information or share it for targeted advertising.
Services that help run the website
These providers handle information only to provide their service:
- Cloudflare: hosts the website and protects it from attacks.
- Dana Wright Co. (DanaWright.co): builds and manages the website, and keeps the visit statistics described above.
- Microsoft: Clarity, as described above.
- Stripe: Donations made on the Give page of our team portal.
- Our team portal (portal.cities4kids.com): also built and hosted for us by Dana Wright Co. on Cloudflare. It keeps contact messages, camp registrations, volunteer applications and donation records.
Cookies
The website itself doesn’t use cookies to identify you. If you sign in to our team portal, its sign-in cookie lets this website show that you’re signed in. Microsoft Clarity, Google Analytics and other services named above may set cookies. You can block or delete cookies in your browser settings; the website still works without them.
How long it’s kept
Messages and contact details are kept only as long as we need them to reply, to do the work you ask for, and to keep reasonable business records. You can ask us to delete them at any time. Do you have a set schedule for deleting old website messages (for example, after two years)? If so, we’ll state it here.
Visit statistics are kept to compare traffic over time; they don’t identify you. Microsoft and Google keep their data under their own retention settings.
Your choices and rights
You can ask what information we hold about you, ask us to correct or delete it, or ask us to stop using it. Depending on where you live, you may have further rights under your state’s privacy law. We’ll respond within 30 days.
Keeping it safe
The website uses an encrypted (HTTPS) connection, and access to messages is limited to the people who need them, including the people who run the website for us. No internet service is perfectly secure, so please don’t send sensitive information such as Social Security, bank or card numbers through the website.
Children
Children don’t register themselves. A parent or guardian registers each camper and gives the child’s information, as described above. This website isn’t meant for children to send us information, and we don’t knowingly collect information from children here. If you think a child has sent us information, please let us know and we’ll delete it.
Changes to this policy
If this policy changes, the new version will be posted here with a new date.
Questions
Please use our contact form, or message us on Facebook or Instagram. The website doesn’t show an email address or phone number. Is there one we should list for privacy and accessibility questions?
